1. Introduction
This Privacy Policy describes how Aviation Intelligence LLC ("Aviation Intelligence," "we," "us," or "our") collects, uses, stores, and protects your information when you use our platform, website, and related services (collectively, the "Service") at https://aviationintelligence.co.
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. This policy should be read alongside our Terms of Service, which govern your use of the Service.
2. Data We Collect
2.1 Account Information
When you create an account, we collect:
- Email address (required for account creation and authentication)
- Name (if you choose to provide it)
- FAA certificate number and certificate type (optional — used for digital signature verification and to match your identity to logbook entries you sign)
- Phone number (optional — used for maintenance alerts only, never shared or used for marketing)
- Account preferences and settings
2.2 Uploaded Documents
When you use the Service, we collect and process:
- Logbook page files you upload, including scanned images, photographs, and PDFs
- Metadata you provide about uploaded documents (aircraft registration number, logbook type, date ranges)
- Image data derived from your uploaded files during processing
2.3 Parsed and Extracted Data
Our AI pipeline produces structured data from your uploads, including:
- Parsed maintenance entries (dates, descriptions, part numbers, AD references, sign-offs)
- Confidence scores for each parsed entry
- Aircraft and component associations
- Mechanic and inspector entity data extracted from entries
2.4 User Corrections
When you correct or edit parsed data, we collect:
- The specific corrections you make
- Timestamps of corrections
- A user weight score that reflects your correction accuracy over time
- Before-and-after values of corrected fields
2.5 Usage Data
We automatically collect:
- Pages viewed and features used
- Upload and parsing activity (frequency, volume, success rates)
- Browser type, device information, and IP address
- Error logs and performance data
2.6 Information We Do Not Collect
- We do not collect financial or payment information (the Service is currently free during public beta)
- We do not collect government-issued personal identification numbers (such as Social Security numbers, passport numbers, or driver's license numbers). FAA certificate numbers, which you may optionally provide, are professional credentials — not personal identification numbers.
- We do not access your device's microphone or location services
2.7 Device Camera Access
The Service may offer a document scanning feature that requests access to your device's camera through your web browser. Camera access is used solely to capture images of logbook pages for processing. Your browser will prompt you for permission before any camera access occurs, and you may deny or revoke that permission at any time through your browser or device settings. Images captured through this feature are uploaded to the Service for processing and are not stored on your device by the Service.
3. How We Use Your Data
We use the information we collect for the following purposes:
3.1 Providing the Service
- Processing your uploaded logbook pages through our OCR and AI extraction pipeline
- Storing and displaying your parsed maintenance records
- Enabling search, filtering, and query features across your data
- Managing your account and providing customer support
3.2 Improving AI Accuracy
- Using your corrections to train and improve our AI models (as described in the Terms of Service, Section 7)
- Analyzing parsing errors and confidence score patterns to identify areas for model improvement
- Developing new extraction capabilities based on the types of logbook formats we encounter
3.3 Analytics and Product Development
- Generating analytics about platform usage and parsing performance
- Understanding which aircraft types, logbook formats, and entry patterns are most common
- Informing product development priorities based on usage patterns
- Improving platform safety, features, and products using aircraft maintenance data (with personal identifiers removed)
3.4 Communication
- Sending account-related notifications (password resets, security alerts, terms updates)
- Providing service announcements and updates about the platform
- Responding to your support requests
4. AI Processing Disclosure
Your uploaded documents are processed by artificial intelligence models. Here is what that means in practice:
4.1 OCR (Optical Character Recognition)
Uploaded logbook page files are sent to third-party OCR service providers for text recognition. The AI reads the images of your logbook pages and extracts the text content. This step converts image data into machine-readable text. We continuously evaluate OCR providers to improve accuracy and reduce cost. 4.2 Structured Extraction
The extracted text is then processed by AI models to identify and structure individual maintenance entries, including dates, descriptions, part numbers, compliance references, and mechanic sign-offs. These models may be operated by third-party providers or by Aviation Intelligence directly.
4.3 Confidence Scores
Every parsed entry includes a confidence score (0.0 to 1.0) reflecting the AI's certainty in its parsing. These scores are always visible to you. Lower scores indicate entries where the AI had more difficulty and errors are more likely.
4.4 Important Limitations
- AI outputs may contain errors, particularly with handwritten text, faded entries, or unusual formats.
- You should verify all AI-parsed data against your original source documents.
- AI outputs are informational only and do not constitute airworthiness determinations or compliance decisions. See our Terms of Service, Section 4.
5. Third-Party Service Providers
We use the following third-party services to operate the platform. Your data is shared with these providers only as necessary to deliver the Service:
5.1 AI and OCR Service Providers
- Purpose: OCR and structured data extraction from uploaded logbook pages
- Data shared: Uploaded logbook page images and extracted text
- Privacy: Subject to each provider's data processing terms and privacy policies. We select providers whose data handling practices meet our standards for confidentiality and data protection. We continuously evaluate providers to improve accuracy and reduce cost. For a current list of AI and OCR providers used by the Service, contact us at support@aviationintelligence.co.
5.2 Supabase
- Purpose: Database hosting, user authentication, and file storage
- Data shared: All account data, parsed records, and uploaded documents
- Infrastructure: Built on PostgreSQL and AWS (file storage backed by S3)
- Privacy: Subject to Supabase's privacy policy
5.3 Vercel
- Purpose: Web application hosting and serverless function execution
- Data shared: Web traffic data, server-side request logs
- Privacy: Subject to Vercel's privacy policy
5.4 DocuSeal
- Purpose: Digital signature functionality (when used)
- Data shared: Document data submitted for digital signature
- Privacy: Subject to DocuSeal's privacy policy
5.5 Resend
- Purpose: Transactional email delivery
- Data shared: Email address and email content for service notifications
- Privacy: Subject to Resend's privacy policy
5.6 PostHog
- Purpose: Product analytics — understanding which features are used, how users navigate the platform, and where users encounter issues
- Data shared: Anonymous usage events (pages viewed, features clicked, time on page), browser type, device type. We do not send your name, email, uploaded documents, or maintenance data to PostHog.
- Privacy: Subject to PostHog's privacy policy. PostHog respects the Do Not Track browser setting.
6. Data Use and Sharing
6.1 Personal Information vs. Aircraft Maintenance Data
We distinguish between personal information (your identity, contact details, account data, and usage activity) and aircraft maintenance data (maintenance entries, component histories, time tracking, compliance records, and other structured data describing the condition, history, and maintenance of aircraft and their components). Aircraft maintenance data is used within the platform to improve AI model accuracy, enable pattern recognition across serial number ranges, and power comparative features that help users understand how their aircraft's maintenance history compares to similar aircraft. Aircraft maintenance data is not personal information.
6.2 No Sale of Personal Information
We do not sell your personal information to third parties. We do not share your identity, contact details, or account data with advertisers, data brokers, or any party not involved in delivering the Service.
6.3 Use of Aircraft Maintenance Data
Structured aircraft maintenance data derived from the platform may be used by Aviation Intelligence and its affiliates or related entities for purposes including but not limited to: improving AI model accuracy, enhancing parsing and extraction quality, enabling pattern recognition across aircraft serial number ranges, powering comparative and benchmarking features for users, developing new product features, and improving the overall quality and safety of the Service. When aircraft maintenance data is used for these purposes, personal identifiers (your name, email, and account information) are removed; however, aircraft-identifying information (such as registration numbers and serial numbers) may be retained where necessary for the data's utility within the platform. See our Terms of Service, Section 8, for additional detail.
7. Data Retention
7.1 Active Accounts
Your logbook data (uploaded documents and parsed records) is retained for as long as your account is active. This is consistent with the nature of aviation maintenance records, which have long-term regulatory significance.
7.2 Regulatory Context
Aircraft maintenance records are subject to regulatory retention requirements under FAA Advisory Circular AC 120-78B and related regulations. While Aviation Intelligence is not itself subject to these requirements as a record-keeper of record, we recognize that the data you store with us may have regulatory significance. We design our retention practices accordingly and will not unilaterally delete your data without notice.
7.3 After Account Closure
When you close your account:
- You may request an export of your data (uploaded source files and parsed records) before closure.
- We will delete your personal account information (name, email, account settings) within 30 days of account closure.
- We will delete your uploaded source files (images, scans, PDFs) within 90 days of account closure, unless you have an outstanding export request or regulatory requirements apply.
- Structured aircraft maintenance data (parsed entries, component histories, compliance records, time-tracking data) derived from your uploads is integrated into the platform's training and aggregate datasets during processing and is not removed upon account closure. Personal identifiers are removed from this data as described in Section 6 and our Terms of Service, Section 8.
- Corrections you submitted are retained under the license granted in the Terms of Service and continue to improve the platform for all users.
7.4 Correction Data
Corrections you submit to parsed entries are retained separately from your account data. Because corrections are used to train and improve AI models (as described in our Terms of Service), they are retained with personal identifiers removed even after account closure.
8. Data Security
We implement the following security measures to protect your data:
8.1 Access Control
- Row-level security (RLS) policies in our database ensure that you can only access data associated with your account and aircraft you have been granted access to.
- Authentication is handled through Supabase Auth with industry-standard practices.
8.2 Encryption
- At rest: Your data is encrypted at rest in Supabase (PostgreSQL) and AWS S3 (file storage).
- In transit: All data transmitted between your browser and our servers is encrypted using TLS (HTTPS).
8.3 Infrastructure
- File storage is backed by AWS S3, which provides eleven-nines (99.999999999%) durability.
- Our database runs on Supabase's managed PostgreSQL infrastructure with automated backups.
8.4 Honest Limitations
No system is perfectly secure. While we take reasonable measures to protect your data, we cannot guarantee absolute security. If we become aware of a security breach that affects your data, we will notify you in accordance with applicable law.
9. Your Rights
You have the following rights regarding your data:
9.1 Access
You can access all of your uploaded documents, parsed records, and account information through the Service at any time.
9.2 Correction
You can correct parsed data through the Service's correction interface. You can update your account information at any time.
9.3 Export
You can request a full export of your data (uploaded documents and parsed records) by contacting us at support@aviationintelligence.co. We will fulfill export requests within a reasonable timeframe, typically within 30 days.
9.4 Deletion
You can request deletion of your account, personal information, and uploaded source files by contacting us at support@aviationintelligence.co. Deletion is subject to the retention periods and data categories described in Section 7. Structured aircraft maintenance data is retained as described in Section 7.3.
9.5 Objection to Processing
If you object to specific uses of your data (such as the use of your corrections for model training), contact us and we will work with you to address your concerns where feasible.
10. Children's Privacy
The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected data from a user under 18, we will take steps to delete that information promptly.

11. State Privacy Rights
Depending on your state of residence, you may have additional privacy rights under state law (such as the California Consumer Privacy Act, Virginia Consumer Data Protection Act, or similar legislation). If you are a resident of a state with such protections:
- You may have the right to know what personal information we collect and how it is used.
- You may have the right to request deletion of your personal information.
- You may have the right to opt out of the sale of personal information (we do not sell personal information).
- You will not be discriminated against for exercising your privacy rights.

12. International Users
The Service is operated from the United States. If you access the Service from outside the United States, your data will be transferred to and processed in the United States. By using the Service, you consent to this transfer and processing.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we do:
- The "Last updated" date at the top of this document will be revised.
- The version number will be incremented.
- For material changes, we will notify you via email or through a prominent notice on the Service.
- Continued use of the Service after changes are posted constitutes acceptance of the updated Privacy Policy.
